Kairos Prime Realty ("we," "us," or "our") respects your privacy and is committed to protecting the personal information of everyone who interacts with us through this system — buyers and sellers who submit an inquiry, our agents and staff, and our developer partners. This Policy explains what information we collect, how we use and store it, who we share it with, and the rights you have under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations.

1. Information We Collect

  • Client and lead information. When you submit an inquiry through a lead capture form, contact an agent, or express interest in a listing, we collect your name, phone number, email address, and details about the property or project you're interested in.
  • Agent and staff account information. Name, email address, phone number, role, and login credentials (passwords are stored using one-way encryption — we cannot see or recover them).
  • Developer partner information. Company name, contact person, phone, email, business address, and Tax Identification Number (TIN), submitted when a developer partner's profile is created or when they self-register through an invite link.
  • Communications. If you connect a personal email account to send or receive messages through this system, the content of those messages — and any attachments — is synced and stored here so your team has a shared record of client conversations.
  • Uploaded files. Property photos, marketing materials, and supporting documents uploaded by staff or developer partners.
  • Usage information. Login timestamps and basic activity logs used to keep the system secure and to help staff follow up on leads in a timely way.

2. How We Use Your Information

We use the information above to:

  • Respond to property inquiries and connect you with the right agent;
  • Manage listings, projects, and the sales/leasing process from lead to closing;
  • Send transactional emails and SMS notifications relevant to your inquiry or transaction;
  • Maintain accurate records for our agents, developer partners, and management team;
  • Improve and secure this system, and prevent fraud or unauthorized access.

We do not sell personal information, and we do not use it for purposes unrelated to our real estate brokerage business without your consent.

3. Sharing With Third-Party Services

To operate this system, some information passes through the following third-party services, each bound by their own privacy and security commitments:

  • Google (Gmail API / OAuth). When an agent or staff member connects their own Gmail account, messages are sent and read through Google's API under that person's own authorization — we never see or store their Google password.
  • SMS gateway (Semaphore). SMS reminders and notifications, where enabled, are delivered through a licensed Philippine SMS gateway provider.
  • Cloud hosting. This system and its database are hosted on secure cloud infrastructure with industry-standard access controls.

We do not share your personal information with any other third party for their own marketing purposes.

4. Data Storage & Security

We apply reasonable organizational, physical, and technical safeguards appropriate to the sensitivity of the information involved. Passwords are one-way hashed, not stored in plain text. Connected-account credentials (such as app passwords or refresh tokens) are encrypted at rest. Access to client, developer, and agent records is limited by role — for example, agents only see their own leads unless a manager or admin role grants broader access.

5. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Policy, to comply with our legal and tax obligations, and to maintain accurate business records. Information tied to a closed or lost deal may still be retained for record-keeping and legal purposes even after the transaction concludes.

6. Your Rights Under the Data Privacy Act

As a data subject under RA 10173, you have the right to:

  • Be informed that your personal information will be, is being, or was processed;
  • Access your personal information we hold about you;
  • Request correction of inaccurate or outdated information;
  • Object to processing, or request that your information be blocked, removed, or destroyed, subject to legal or contractual retention requirements;
  • Be indemnified for damages from inaccurate, incomplete, or unauthorized use of your information;
  • Lodge a complaint with the National Privacy Commission (NPC).

7. Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. Once you've accepted this Policy, we won't ask you to accept it again unless it changes in a material way.
